Manage the subscription types that can later be assigned to relations.

The Subscriptions settings group is where you create and manage the subscription types available in your organisation. Subscription types defined here serve as templates that are later assigned to individual relations. They work together with settings in Flightlogger and Scheduler that can require a valid subscription for flying or booking.

How to access Subscriptions settings

  1. Open Settings from the main menu.
  2. Select the Subscriptions group.

Subscription type fields

Each subscription type you create consists of the following fields.

Field Type Description
Name Text input Display name for the subscription type, visible when assigning to relations and in reports (e.g. "Annual Membership", "Student Pilot").
Fee Numeric input (amount) The monetary fee recorded when the subscription is assigned to a relation.
Duration Quantity + period (days/months/years) How long the subscription remains valid after activation. The system calculates the expiry date automatically.

Note

When a subscription expires, it may prevent the relation from booking or flying if subscription requirements are enabled in Scheduler or Flightlogger settings.


Common tasks

Creating a new subscription type

  1. Open Settings and select the Subscriptions group.
  2. Select the option to create a new subscription type.
  3. Enter a name for the type (for example, "Annual Membership").
  4. Enter the fee amount.
  5. Set the duration by entering the quantity and selecting the period.
  6. Save the new subscription type.
  7. The type is now available for assignment to relations in the Relations module.

Editing an existing subscription type

  1. Open Settings and select the Subscriptions group.
  2. Select the subscription type you want to modify.
  3. Update the name, fee, or duration as needed.
  4. Save your changes.
  5. Changes apply to future assignments. Existing active subscriptions that were created with this type retain the values they were assigned with.

Deleting a subscription type

  1. Open Settings and select the Subscriptions group.
  2. Select the subscription type you want to delete.
  3. Attempt to delete it.
  4. If there are active subscriptions of this type currently assigned to relations, the system will prevent deletion. You must first wait for those subscriptions to expire or remove them from the affected relations before the type can be deleted.

Warning

Deleting a subscription type is blocked while active subscriptions of that type exist. Expire or remove them from affected relations first.

  1. If no active subscriptions exist, the type is removed.

Good practices

  • Use clear, descriptive names that distinguish between different membership tiers, durations, and target groups. Avoid generic names like "Type A" or "Sub 1".
  • Before creating subscription types, plan your membership structure. Determine how many tiers you need, what durations make sense for your organisation, and what fees to charge.
  • Align subscription durations with your organisation's billing cycles and membership renewal processes.

Important

If you enable the subscription requirement in Flightlogger or Scheduler, ensure that you have at least one subscription type created and assigned to all eligible relations before activation.

  • Periodically review your subscription types. If a type is no longer used and has no active subscriptions, consider deleting it to keep the list clean.
  • When adjusting fees for an existing type, be aware that the change affects future assignments only. Relations with active subscriptions at the old fee are not retroactively charged.
