The Aeromail settings group controls the sender-side email configuration for your organisation. This is where you set up sending profiles and sending domains so that your organisation can send branded, authenticated emails through the Aeromail feature. At least one verified domain and one active sending profile are required before Aeromail can be used.
How to access Aeromail settings
- Open Settings from the main menu.
- Select the Aeromail group.
Sending profiles
A sending profile defines the sender identity that recipients see when they receive an Aeromail message from your organisation.

Managing sending profiles
Creating a sending profile
- Open the Aeromail settings group.
- Navigate to the sending profiles section.
- Select the option to create a new profile.
- Enter the from name and from email address.
- Set the profile to active.
- Optionally mark it as the default profile.
- Save the profile.
Editing a sending profile
- Open the Aeromail settings group.
- Select the profile you want to modify.
- Update the from name, from email, active status, or default status as needed.
- Save your changes.
Deactivating a sending profile
- Open the Aeromail settings group.
- Select the profile you want to deactivate.
- Switch the active toggle to off.
- Save your changes.
- The profile can no longer be selected when composing new Aeromail messages, but it is not deleted.
Sending domains
Sending domains define which email domains your organisation is authorised to send from. Domain verification ensures that emails sent through Aerolync are authenticated and less likely to be marked as spam by recipients' email providers. Domain verification involves adding DNS records.
Domain verification status
Each sending domain displays a verification status that indicates whether the required DNS records have been correctly configured. A domain must be fully verified before it can be used in a sending profile's from email address.
Managing sending domains
Adding a sending domain
- Open the Aeromail settings group.
- Navigate to the sending domains section.
- Select the option to add a new domain.
- Enter your domain name (for example,
yourclub.com). - Save the domain.
- The system will display the DNS records you need to add to your domain's DNS configuration. These typically include SPF, DKIM, and DMARC records.
- Add the required DNS records through your domain registrar or DNS provider.
- Return to the sending domains section and check the verification status.
Note
DNS propagation can take up to 48 hours, though it often completes within a few hours.
Checking verification status
- Open the Aeromail settings group.
- Navigate to the sending domains section.
- Review the verification status indicator next to each domain.
- If a domain shows as unverified, confirm that the required DNS records are correctly configured with your DNS provider.
Prerequisites for using Aeromail
Important
Before your organisation can send Aeromail messages, all of the following must be in place:
1. At least one sending domain must be added and fully verified.
2. At least one sending profile must be created, set to active, and using a from email address on a verified domain.
3. One active profile should be marked as the default so it is pre-selected when composing messages.
Common tasks
Setting up Aeromail for the first time
- Add your organisation's email domain as a sending domain.
- Configure the DNS records as instructed by the system.
- Wait for domain verification to complete.
- Create a sending profile with your desired from name and from email address.
- Set the profile to active and default.
- Save all changes.
- Test by sending a message through Aeromail to confirm delivery.
Switching to a new email domain
- Add the new domain as a sending domain and complete DNS verification.
- Create a new sending profile using the new domain's email address.
- Set the new profile to active and default.
- Deactivate the old profile if it is no longer needed.
- Optionally remove the old sending domain if no profiles reference it.
Good practices
- Use a recognisable from name that your recipients will immediately identify as coming from your organisation. Avoid generic names like "noreply" or "admin".
- Set up your sending domain and verify it before you need to send your first Aeromail message. DNS verification can take time.
- Keep at least one profile marked as the default to streamline the message composition process.
- If you operate multiple departments or communication channels (for example, operations and training), consider creating separate sending profiles for each while sharing the same verified domain.
- Periodically verify that your DNS records remain correctly configured, especially after changing DNS providers or domain registrars.
- Deactivate unused profiles rather than deleting them, in case you need to reactivate them later.
