Relation list

Find the right relation quickly, understand the list status indicators, and create a new relation when needed.

The relation list is the entry point of the Relations module. Every time you open Relations, this is the first screen you see. Use it to find a specific person, review operational status at a glance, filter groups of relations, export data, or create a new relation record.

What you see

The relation list displays one row per relation. Each row shows the following information:

Column Description
Reference The internal ID or external reference assigned to the relation
Name The person's full name as entered in personal details
Phone The primary phone number on file
Email The primary email address on file
Active status Whether the relation is currently active or inactive
Subscription state Whether the relation has an active, pending, expired, or missing subscription
Account status Whether an Aerolync account is linked, an invitation is pending, or no account exists yet
Licence validity Whether available licences are valid, invalid, or missing

At the top of the list you will find a search bar and filter controls. These let you narrow down the list before you open a record or export data.


Understanding the status icons

The right side of each row displays status icons that answer four important questions without opening the record:

Icon What it tells you
Active or inactive Whether the person is still active in your organisation. Inactive relations do not appear in bookings or operational views.
Subscription state Whether the relation holds an active subscription, has a pending or expired subscription, or has none at all. Critical for booking access.
Account status Whether the person has a linked Aerolync account (can log in), only an invitation sent (not yet accepted), or no invitation at all.
Licence validity Whether licences on file are valid, expired/invalid, or missing entirely. Useful for pre-flight and operational checks.

Tip

These icons make the list a powerful screening tool. You can scan dozens of relations in seconds and spot issues that need attention without opening each record individually.

Searching for a relation

The free-text search bar at the top of the list accepts multiple types of input:

  • Name -- type part of the first name or last name
  • Internal ID -- type the reference number assigned to the relation
  • Email address -- type part of the email address
  • Account details -- type details associated with the linked Aerolync account

The search runs across all of these fields at once, so you do not need to specify which field you are searching. Start typing and the list filters in real time.


Filtering the list

When you need to narrow down the list beyond a simple name search, use the filter controls:

Filter What it does
Role filter Show only relations with a specific role (e.g., flight instructors, administrators, students)
Subscription filter Show only relations with a particular subscription type
Label filter Show only relations tagged with a specific label
Include inactive By default, inactive relations are hidden. Enable this toggle to include them in results

Tip

Filters can be combined. For example, filter by the role "instructor" and the label "base A" to see only flight instructors assigned to a specific location.


Exporting the list

Warning

The export contains only the relations currently visible in the filtered list. Always confirm your filters are correct before exporting to avoid missing data or including unwanted records.

To export:

  1. Apply the search and filter criteria you need.
  2. Verify that the list shows only the relations you want to include.
  3. Click the Export button.
  4. The platform generates the export file for download.

Creating a new relation

When a person does not yet exist in Aerolync, create a new relation record from the list.

Step by step:

  1. Click Add new at the top of the relation list.
  2. Enter the Internal ID. This is the reference number your organisation uses to identify the person. Choose a consistent numbering scheme.
  3. Enter the First name.
  4. Enter the Last name.
  5. Enter the Email address. This email will be used for communication and for the Aerolync account invitation.
  6. Click Save to create the relation.

After saving, the platform opens the new relation record automatically. Continue by completing the Personal details tab and then work through the other tabs as needed.


Common tasks

Find a specific person quickly

  1. Open Relations from the main navigation.
  2. Type part of the person's name, email, or internal ID in the search bar.
  3. Review the matching results.
  4. Click the row to open the relation record.

Check the operational status of a group

  1. Apply the relevant role, subscription, or label filter.
  2. Scan the status icons across the filtered list.
  3. Look for relations with expired subscriptions, invalid licences, or missing accounts.
  4. Open any relation that needs attention and resolve the issue in the appropriate tab.

Find an inactive or archived relation

  1. Enable the Include inactive toggle in the filter area.
  2. Search by name, email, or internal ID as usual.
  3. Review the results. Inactive relations will be included alongside active ones.
  4. Open the record to confirm whether the inactive state is still correct or whether the relation should be reactivated.

Export a filtered group for reporting

  1. Apply the filters that define the group you need (for example, all active relations with a specific subscription type).
  2. Verify that the list only shows the intended relations.
  3. Click Export.
  4. Open the downloaded file to confirm the data is correct.

Create a relation and complete the initial setup

  1. Click Add new and fill in the internal ID, first name, last name, and email address.
  2. Save the new relation.
  3. Complete the Personal details tab with address, phone, date of birth, nationality, and emergency contact.
  4. Add a Subscription if the person needs access to booking or services.
  5. Configure Billing if the person will receive invoices.
  6. Set up the Account tab with the correct permissions and send the Aerolync invite.

Good practice

  • Use labels and roles consistently. The value of filters depends entirely on how well your organisation maintains roles and labels. Agree on a naming convention and apply it to every new relation.
  • Narrow the list before exporting. Exporting the full unfiltered list is rarely what you need. Always apply filters first so the export contains only the relevant data.
  • Treat the list as a selection screen. The relation list is designed for finding and screening. Make your actual changes inside the relation record, not from the list view.
  • Check status icons before opening records. The icons give you immediate context. If you can answer your question from the list alone, you save time.
  • Review the list regularly for stale records. Periodically filter for inactive relations, expired subscriptions, or missing accounts to keep your data clean and your operational views accurate.
