Control booking rules, scheduler groups, planning cell behavior, and access conditions for reservations.

The Scheduler settings group controls booking rules, planning behaviour, and display options for the scheduling system. These settings shape how pilots, flight instructors, and staff experience the booking process. This group also contains scheduler group management for organising aircraft and flight instructors on the scheduler view.

How to access Scheduler settings

  1. Open Settings from the main menu.
  2. Select the Scheduler group.

Fields

Field Type Description
Max bookings per relation Numeric input Maximum number of active bookings a single relation can hold at any given time. Once reached, no new bookings until one is completed or cancelled.
Max booking days in future Numeric input How far into the future (in days) a relation can place a booking.
Allow simultaneous booking of multiple aircraft Toggle (on/off) Whether a single relation can book more than one aircraft for overlapping time slots.
Scheduler start hour Hour value The earliest hour displayed on the scheduler view. Bookings cannot be created before this hour.
Scheduler end hour Hour value The latest hour displayed on the scheduler view. Bookings cannot be created after this hour.
Planning cell duration Numeric input (minutes) The length of each time cell on the scheduler grid. Shorter cells give more precision but a denser grid.
Valid subscription required for bookings Toggle (on/off) Whether a relation must have a valid, active subscription before creating a booking.

Tip

The fields Max bookings per relation, Max booking days in future, and Allow simultaneous booking of multiple aircraft can all be overridden for individual relations in Relations > Account. Use per-relation overrides rather than raising organisation-wide limits to accommodate a few relations who need special privileges.

Warning

Reducing Max booking days in future may cancel or invalidate existing bookings that fall outside the new horizon. Enabling Valid subscription required for bookings takes effect immediately -- ensure all eligible relations have valid subscriptions first.


Scheduler groups

Scheduler groups allow you to organise aircraft and flight instructors into logical groupings on the scheduler view. This is useful for organisations that operate different types of aircraft or have separate instruction programmes.

Creating a scheduler group

  1. Open Settings and select the Scheduler group.
  2. Locate the scheduler groups section.
  3. Select the option to create a new group.
  4. Enter a name for the group.
  5. Save the group.

Editing a scheduler group

  1. Open the scheduler groups section within Scheduler settings.
  2. Select the group you want to modify.
  3. Update the group name or its assignments.
  4. Save your changes.

Assigning aircraft and flight instructors to a group

  1. Open the scheduler groups section within Scheduler settings.
  2. Select the group you want to populate.
  3. Add or remove aircraft and flight instructors from the group's assignments.
  4. Save your changes.
  5. The scheduler view will now display the assigned aircraft and flight instructors under this group.

Common tasks

Setting up a new organisation's booking rules

  1. Open Settings and select the Scheduler group.
  2. Set max bookings per relation to a reasonable starting value (for example, 2 or 3).
  3. Set max booking days in future based on how far ahead you want pilots to plan (for example, 14 or 30 days).
  4. Decide whether to allow simultaneous aircraft bookings and set the toggle accordingly.
  5. Set the scheduler start hour and scheduler end hour to match your airfield's operating hours.
  6. Choose a planning cell duration that fits your typical booking lengths (for example, 30 minutes).
  7. Decide whether to require a valid subscription for bookings and set the toggle.
  8. Save all changes.

Granting extended booking privileges to a specific relation

If a particular relation (such as a flight instructor or club officer) needs more bookings or a longer booking horizon than the organisation default, you do not need to change the organisation-wide setting. Instead, override the value for that specific relation in Relations > Account.

Adjusting the scheduler display for seasonal changes

  1. Open Settings and select the Scheduler group.
  2. Update the scheduler start hour and scheduler end hour to reflect seasonal daylight or operational hours.
  3. Save your changes. The scheduler view updates immediately.

Good practices

  • Start with conservative booking limits and increase them as you understand your pilots' booking patterns.
  • Use scheduler groups to keep the scheduler view organised, especially if you operate both powered aircraft and gliders or have separate training and leisure fleets.
  • When changing the planning cell duration, inform pilots that the booking grid will look different. Existing bookings are not affected, but new bookings will follow the new cell size.

Important

If you enable the subscription requirement for bookings, make sure all eligible relations have valid subscriptions first. Coordinate with Subscriptions and the Relations module.
