PPR (Prior Permission Required) lets visiting pilots request permission before flying to your aerodrome. Requests arrive through the website widget on your own site, or are entered manually by your team. The PPR module is where they are reviewed and answered.
Setting up for the first time? Follow the quick start — seven steps from module activation to a working widget on your website, including the scheduler calendar, PPR line, opening hours and notifications.
The request list
The module lists all requests chronologically by ETA (furthest in the future on top, history sinking down), each titled with the aircraft registration and showing status — Pending, Accepted or Rejected. Selecting a request opens the detail pane: the pilot's contact details (with click-to-mail and click-to-call) and the key flight facts on top, followed by everything else the pilot submitted (flight, aircraft, handling wishes, customs, remarks) and the response history on the right. Pending requests can still be edited, for instance to correct an arrival time after a phone call.
When opening hours are configured for your aerodrome, a request whose ETA falls outside them is flagged with a clear ETA outside opening hours warning in the detail pane — including the opening window of that day — and the same note is added to the staff notification e-mail.
Responding
With the PPR respond permission you Accept or Reject a pending request, optionally with a personal message (parking instructions, reason for rejection). The decision is final for the request; the audit trail keeps who decided what, and when.
E-mails
All mails are sent automatically, in the language the pilot used in the widget:
| Moment | Recipient | Content |
|---|---|---|
| New request | Your team (addresses under Config → Settings → PPR notifications) | Full request details, including a warning when the ETA falls outside your opening hours. |
| New request | The pilot | Acknowledgement with reference number. |
| Accept / Reject | The pilot | Colour-coded decision mail with the details and your message. |
The detail pane shows whether the decision mail was delivered; Resend e-mail sends it again if needed.
Scheduler {#scheduler}
When enabled in the widget settings, requests appear as bookings on a calendar line of your choice:
- A new request shows immediately with an orange PPR PENDING badge.
- Accepting turns it into a green PPR ACCEPTED line (optionally as an active line).
- Rejecting removes the line.
Arrival and departure times are converted from UTC to local time automatically. Without a departure time the booking spans two hours after arrival. PPR lines are read-only in the scheduler — they are managed from the PPR module, and hovering shows the visitor's details (registration, origin, POB, contact).
The PPR line is a back-office instrument: it is visible in the platform scheduler only. Pilots never see it in the Pilot App — neither as a scheduler line nor as a bookable resource.
Note
the PPR module is activated per organisation by Aerolync. Contact us to enable it for your aerodrome.
