The e-Mail notifications settings group controls the automated messages that Aerolync sends in response to operational events. Unlike Aeromail (which is used for manually composed communications), these notifications are triggered automatically by the system when specific events occur. This group lets you decide which notification types are active and who receives them.
How to access e-Mail notification settings
- Open Settings from the main menu.
- Select the e-Mail notifications group.

Each notification type has its own recipient email list. Add one or more email addresses to activate a notification type. If no recipients are listed, no emails are sent for that type.
Warning
For defect notifications, always ensure at least one maintenance-responsible person is on the recipient list. Missing a defect report can have safety implications.

Schedule overview notifications are especially useful for duty managers and flight instructors who need to plan their day or week ahead.
Common tasks
Setting up notifications for the first time
- Open Settings and select the e-Mail notifications group.
- For each notification type, determine who in your organisation should receive it.
- Add the appropriate email addresses to each notification type's recipient list.
- Save your changes.
- Notifications will begin sending automatically the next time a triggering event occurs.
Adding a new recipient to an existing notification type
- Open Settings and select the e-Mail notifications group.
- Locate the notification type you want to update.
- Add the new email address to the recipient list.
- Save your changes.
Removing a recipient from a notification type
- Open Settings and select the e-Mail notifications group.
- Locate the notification type you want to update.
- Remove the email address from the recipient list.
- Save your changes.
- The removed address will no longer receive notifications of that type.
Disabling a notification type entirely
- Open Settings and select the e-Mail notifications group.
- Locate the notification type you want to disable.
- Remove all email addresses from the recipient list.
- Save your changes.
- With no recipients listed, the notification type will not generate any emails.
Good practices
- Assign notification recipients deliberately. Each notification type should go to the person or team responsible for acting on that information. Sending all notifications to everyone creates noise and leads to important alerts being ignored.
- For defect notifications, always ensure at least one maintenance-responsible person is on the recipient list. Missing a defect report can have safety implications.
- For licence expiration notifications, include both the administrative staff who manage renewals and the training staff who oversee pilot currency.
- Review your recipient lists periodically, especially when staff roles change. If a person leaves a position, update the notification lists so the replacement receives the relevant alerts.
- Use booking confirmation notifications to keep your operations desk informed, but avoid adding too many recipients to prevent inbox overload.
- If your organisation has seasonal variations in activity, consider adjusting notification recipients to match. For example, during a busy training season, ensure the duty flight instructor receives schedule overview notifications.

These are automated system emails, separate from Aeromail campaigns. Automated notifications cannot be customised in content -- they are generated by the system based on the triggering event.
