Plan and record actual standardization moments, including the event type, supervisor, participants, and remarks.

The Sessions area is the operational heart of the Standardization module. This is where you record the actual standardization moments that take place in your organisation. Every session links back to an event type defined in the Events area and captures who was involved, when it happened, and what was noted.

What the session list shows

When you open the Sessions area, you see a list of all recorded standardization sessions. The list typically displays the following information for each entry:

  • Date -- the date the session took place or is planned for.
  • Event -- the linked event type, showing which kind of standardization activity this session represents.
  • Supervisor -- the person who led or oversaw the session.
  • Number of participants -- a count of the relations attached to the session.
  • Remarks -- a summary or notes about the session outcome.

You can use this list to quickly scan your organisation's standardization history, identify gaps, or find a specific past session.

Session fields

When you create or edit a session, the following fields are available:

  • Date -- the calendar date of the session.
  • Start time -- when the session began.
  • End time -- when the session concluded.
  • Linked event type -- select one of the event types you have defined in the Events area. This categorises the session and makes it easy to filter or group sessions by type later.
  • Supervisor -- the person responsible for conducting or overseeing this session. Select from the available relations.
  • Remarks -- free-text notes about the session. Use this field to capture outcomes, observations, follow-up actions, or anything relevant that goes beyond the structured fields.
  • Participant list -- the flight instructors or other relations who attended the session. Participants are selected from the relations list.

Creating a session

  1. Open the Standardization module and navigate to the Sessions area.
  2. Select the option to create a new session.
  3. Set the date, start time, and end time for the session.
  4. Choose the appropriate event type from the dropdown. If no suitable event type exists, go to Events first to create one.
  5. Select the supervisor who led the session.
  6. Add participants by selecting relations from the list. You can add multiple participants.
  7. Enter any remarks that describe what happened, what was covered, or what follow-up is needed.
  8. Save the session.

Editing an existing session

Reopen any session from the list to update its details. This is useful when you need to correct a participant list after the fact, add remarks that were not available at the time of recording, or adjust the time window.

How sessions appear on flight instructor records

When a relation is added as a participant in a standardization session, that session also appears on the flight instructor's FI tab in the Relations module. This means you do not need to enter the same information twice. Recording attendance here automatically updates the flight instructor's standardization history.

Common tasks

  • Record a completed session -- after a standardization moment takes place, open Sessions, create a new entry, fill in all fields, and save. Do this promptly so details are still fresh.
  • Review past sessions -- use the session list to look back at what standardization activity has been completed. Filter or scroll to find sessions by date or event type.
  • Check attendance for a specific session -- open the session and review the participant list to confirm who attended.
  • Verify a flight instructor's standardization history -- while you can check this from the Sessions area, you can also navigate to the flight instructor's record in Relations and open the FI tab for a consolidated view.

Good practice

  • Record sessions as soon as possible after they take place. Delayed entries risk missing participants or inaccurate remarks.
  • Use the remarks field for meaningful context about outcomes and observations, not just attendance notes. Remarks like "All items covered, no follow-up needed" or "Participant X requires additional review on topic Y" are more useful than a blank field.
  • Always verify the supervisor and participant list before saving. Incorrect participant data affects the flight instructor records visible on the FI tab in Relations.
  • Keep the session history clean and complete. A well-maintained session list gives your organisation a reliable audit trail for standardization activity.
  • Link every session to the correct event type. If you notice sessions without a linked event type, update them so your filtering and reporting remain accurate.
