Maintain flight instructor-specific settings such as the flight instruction rate and completed standardization follow-up.

The FI tab contains settings and follow-up information specific to flight instructors. This tab only appears when the relation has been marked as a flight instructor on the Account tab (the FI permission must be enabled). Use it to set the flight instructor's flight instruction rate and to review their completed standardization sessions.

If you do not see the FI tab on a relation record, check the Account tab and confirm that the flight instructor permission is enabled.

What you see

The FI tab is divided into two main sections:

Flight instruction rate

  • Rate per minute -- the amount charged per minute for flight instruction provided by this flight instructor. This rate is used by the platform to calculate instruction fees when this flight instructor is assigned to a flight. The rate appears as a numeric field that you can edit and save.

The instruction rate directly affects the charges that appear on a student's Finance tab after a flight with this flight instructor. It also affects what shows up in proforma billing previews on the student's Billing tab. Getting this rate right is important for accurate financial records.

Completed standardization sessions

Below the rate field, the tab displays a list of standardization sessions that the flight instructor has completed. Each entry in the list shows:

  • Event name -- the name or title of the standardization session
  • Date -- when the session took place
  • Supervisor -- the person who conducted or supervised the standardization session
  • Remarks -- any notes or observations recorded during the session

This list is read-only on the FI tab. Standardization sessions are managed through the Standardization module and appear here automatically once completed. The list provides a convenient way to review a flight instructor's compliance history without leaving the relation record.

Setting or updating the flight instruction rate

When a flight instructor joins your organisation or when pricing changes, update the rate on this tab:

  1. Open the relation record for the flight instructor.
  2. Navigate to the FI tab.
  3. Enter the correct rate per minute in the rate field. Use the rate that your organisation has agreed upon for this specific flight instructor.
  4. Click Save.

The new rate applies to future flight instruction sessions. It does not retroactively change charges already recorded on existing flights.

When to update the rate

Update the instruction rate when:

  • A new flight instructor is added to your organisation and needs their initial rate set
  • Your organisation changes its pricing structure for instruction
  • An individual flight instructor's rate changes (for example, due to experience level, a new agreement, or a promotion)
  • Seasonal or temporary rate adjustments are needed

After changing the rate, verify it by checking the Billing tab of a student who has upcoming instruction with this flight instructor. Use the proforma preview to confirm the new rate is reflected in the expected charges.

Reviewing standardization history

Standardization sessions are a regulatory and organisational requirement for flight instructors. The FI tab gives you quick access to the flight instructor's standardization record.

To review the standardization history:

  1. Open the relation record for the flight instructor.
  2. Navigate to the FI tab.
  3. Scroll to the standardization sessions list.
  4. Review each entry, checking:
    • The date to confirm sessions are recent enough to meet your organisation's requirements
    • The supervisor to verify sessions were conducted by an authorised person
    • The remarks for any flags, recommendations, or follow-up actions noted during the session
  5. If the list is empty or the most recent session is too old, the flight instructor may need to complete a new standardization session.

For detailed management of standardization sessions -- including scheduling new sessions, recording results, and managing supervisors -- use the Standardization module.

Common tasks

Set the rate for a newly added flight instructor

  1. Open the relation record.
  2. Confirm on the Account tab that the FI permission is enabled. If not, enable it and save.
  3. Navigate to the FI tab.
  4. Enter the agreed rate per minute.
  5. Click Save.

Update the rate when pricing changes

  1. Open the relation record for the flight instructor.
  2. Navigate to the FI tab.
  3. Change the rate per minute to the new value.
  4. Click Save.
  5. Optionally, add a note on the Personal details tab recording when and why the rate changed, for future reference.

Check whether a flight instructor's standardization is current

  1. Open the relation record for the flight instructor.
  2. Navigate to the FI tab.
  3. Look at the most recent standardization session in the list.
  4. Compare the date against your organisation's standardization requirements (for example, if sessions are required annually, the most recent session should be within the last 12 months).
  5. If the flight instructor is overdue, schedule a new session through the Standardization module.

Review a flight instructor's full compliance picture

To get a complete view of a flight instructor's compliance status:

  1. Open the relation record.
  2. Check the FI tab for the instruction rate and standardization history.
  3. Check the Licences tab to confirm the flight instructor's licence is valid.
  4. Check the Subscriptions tab to confirm the flight instructor has an active subscription.
  5. Check the Account tab to confirm the flight instructor is active and has the FI permission enabled.

All four areas must be in order for a flight instructor to be fully operational.

Good practice

  • Set the instruction rate as part of flight instructor onboarding. When you mark a relation as a flight instructor on the Account tab, immediately go to the FI tab and set the rate. A flight instructor without a rate will generate zero-value instruction charges, which creates financial discrepancies.
  • Update rates promptly when pricing changes. Delayed rate updates mean incorrect charges on student accounts. Update the rate as soon as a pricing change takes effect.
  • Review standardization history during periodic flight instructor oversight. Do not wait for a regulatory audit to discover that a flight instructor is overdue for standardization. Build regular FI tab reviews into your administrative routine.
  • Use the Standardization module for session management. The FI tab is a convenient read-only view of completed sessions. For scheduling, recording, and managing standardization sessions, use the Standardization module directly.
  • Keep the complete flight instructor record in mind. The FI tab is one part of the flight instructor's overall record. A valid rate and recent standardization are necessary, but so are a valid licence, an active subscription, and correct permissions on the Account tab. Review all relevant tabs together when assessing flight instructor readiness.
