Plan aircraft, flight instructors, and other resources, and manage bookings, availability, and operational capacity from one day scheduler.

The Schedule module is the central planning board for day-to-day flight operations. It brings together aircraft, flight instructors, and other resources into a single visual timeline so you can plan, book, and monitor operational capacity without switching between screens.

Everything in Schedule revolves around the day scheduler, a timeline view where each row represents an aircraft, flight instructor, or resource. From this view you create reservations, review blocked periods, check flight instructor availability, and track your own upcoming bookings.

Getting started

  1. Open Schedule from the main navigation.
  2. You land on the day scheduler, showing today's timeline by default.
  3. Select the correct schedule group if your organisation uses more than one.
  4. From here you can create reservations, manage flight instructor availability, or review your personal bookings.

What Schedule covers

The module is organised into four working areas. Each area has its own documentation page with detailed instructions.

  • Day scheduler -- the visual planning board where all resources appear on a timeline. This is where most daily work begins.
  • Reservations -- creating, editing, and cancelling bookings for aircraft and resources, including pricing configuration.
  • Flight instructor availability -- defining when flight instructors are available or unavailable, with support for recurring patterns.
  • Groups and My bookings -- working with schedule groups to control which resources you see, and using the personal bookings list for quick follow-up.

How Schedule connects to other modules

Schedule does not work in isolation. Several other modules feed information into the planning board or depend on it.

  • Settings > Scheduler -- controls the cell duration, visible timeframe, schedule groups, and other configuration that shapes how the day scheduler looks and behaves. Always check Settings when the scheduler does not display the expected time range or grouping.
  • Fleet -- aircraft availability and status flow into the scheduler. When an aircraft is marked unavailable or under maintenance in Fleet, the scheduler reflects that as a blocked period.
  • Relations -- booking limits and default calendar groups are defined per relation. These limits apply when creating reservations in Schedule.
  • Pilot App -- bookings created in Schedule appear in the mobile Pilot App. Pilots can also create bookings from the app, which then show up on the day scheduler.

Key concepts

  • Schedule group -- a named set of aircraft, flight instructors, and resources that appear together on the planning board. Select the correct group before planning.
  • Reservation -- a booking that occupies a time slot on an aircraft or resource row. Reservations include a relation (the person or account), optional flight instructor assignment, and pricing configuration.
  • Availability block -- a time range on a flight instructor row that marks the flight instructor as available or unavailable. These blocks can be one-time or recurring.
  • Blocked period -- a time range where an aircraft or resource cannot be booked, typically due to maintenance, unavailability, or administrative restrictions.

Before you start planning

Before creating your first booking, confirm the following:

  • Schedule groups have been configured in Settings > Scheduler and contain the correct aircraft and flight instructors.
  • Aircraft are set up in Fleet with their current availability status.
  • Flight instructor availability blocks are up to date so the scheduler accurately reflects who can fly.
  • Relations who will be booked have been created in Relations with any applicable booking limits.

Good practice

  • Always verify you are in the correct schedule group before creating or changing a booking. Working in the wrong group is a common source of planning errors.
  • Use the day scheduler as your primary planning tool. Review the full timeline before selecting a time slot.
  • Keep flight instructor availability current. Outdated availability data leads to bookings that cannot be fulfilled.
  • Review pricing before confirming any reservation, especially when custom pricing is involved.
  • Use My bookings for quick personal follow-up, but return to the full scheduler for planning decisions that affect other users.
