How to view the day schedule, create and manage bookings, and use schedule groups in the Pilot App.

The Schedule screen in the Pilot App gives you mobile access to the booking system. You can view aircraft and flight instructor availability, create new bookings, and manage your existing reservations.

What you see

The Schedule screen shows a day timeline with all resources (aircraft and flight instructors) and their bookings. Each row represents one resource, and time slots are displayed horizontally across the day.

My Bookings — A filtered view showing only your own reservations. This is the quickest way to check your upcoming flights.

Date navigation

  • Tap Previous to go to the previous day
  • Tap Today to jump back to the current date
  • Tap Next to go to the next day
  • Use the date selector to jump to a specific date

Schedule groups

If your organisation uses schedule groups, you can switch between groups using the group selector at the top of the screen. Each group shows a different set of aircraft and resources.

Select the correct group before creating a booking to make sure you see the right resources.

Timeline markers

The schedule shows visual markers to help you plan:

  • Current time line — a line indicating the current moment
  • Sunrise marker — when the sun rises at the airfield
  • Sunset marker — when the sun sets at the airfield
  • Blocked periods — greyed-out areas where the resource is unavailable

Creating a booking

  1. Navigate to the day you want to book
  2. Make sure the correct schedule group is selected
  3. Find an available time slot on the aircraft or flight instructor row
  4. Tap the available slot to open the booking form
  5. Confirm or adjust the booking details:
    • Date and time
    • Aircraft
    • Flight instructor (if needed)
    • Any additional information
  6. Save the booking

The booking immediately appears on the schedule for both the app and the platform.

Booking restrictions you may encounter:

  • Maximum number of bookings reached — your organisation may limit how many active bookings you can have
  • Maximum booking horizon — you may not be able to book further into the future than a set number of days
  • Simultaneous booking restriction — your organisation may prevent booking multiple aircraft at the same time
  • Subscription requirement — a valid subscription may be required before you can book
  • Aircraft unavailability — the aircraft may be blocked for maintenance or other reasons

Editing a booking

  1. Find your booking on the schedule
  2. Tap the booking to open it
  3. Modify the details as needed
  4. Save your changes

You can typically change the time, add or remove a flight instructor, or update remarks.

Cancelling a booking

  1. Find your booking on the schedule
  2. Tap the booking to open it
  3. Use the cancel or delete option
  4. Confirm the cancellation

Cancelled bookings are removed from the schedule.

Viewing your bookings

To quickly see all your upcoming reservations:

  1. Switch to the My Bookings view
  2. Review your upcoming bookings with dates, times, aircraft, and flight instructor details

This view only shows bookings linked to your account.

Common tasks

Book a training flight with a flight instructor

  1. Go to the Schedule screen
  2. Navigate to the desired date
  3. Check the flight instructor's row for availability
  4. Find a time slot where both the flight instructor and an aircraft are available
  5. Tap the slot and create the booking
  6. Select the flight instructor and aircraft
  7. Save the booking

Check if a specific aircraft is available tomorrow

  1. Go to the Schedule screen
  2. Tap Next to go to tomorrow
  3. Select the schedule group that contains the aircraft
  4. Look at the aircraft's row for open time slots
  5. Blocked or booked periods will be visually marked

Cancel a booking you no longer need

  1. Switch to My Bookings to find it quickly
  2. Tap the booking
  3. Cancel it to free up the slot for other users

Good practice

  • Always select the correct schedule group before browsing or booking
  • Check both aircraft and flight instructor availability when booking training flights
  • Cancel bookings you no longer need as early as possible — this frees resources for other users
  • Use the sunrise and sunset markers to plan VFR flights within daylight hours
  • Review your bookings in My Bookings the day before to confirm everything is still correct
