Complete guide to the departure and arrival logging flows, including route selection, flight details, aircraft and Hobbs entry, defect reporting, and operational checks.

The Flight Logger guides you through a structured departure or arrival flow. Every flight in Aerolync starts with a departure registration and ends with an arrival registration. This page covers both flows in detail.

Departure flow

The departure flow creates a new flight record. Follow these steps:

Step 1 — Choose the route type

Select the route type for your flight:

  • NAV — a navigation flight to a different aerodrome. You will need to specify a destination.
  • LOCAL — a local flight returning to the departure aerodrome. The destination is automatically set to the departure airfield.

Step 2 — Enter aerodrome information

  • Departure aerodrome — typically pre-filled based on your location or home base
  • Destination aerodrome — enter the destination ICAO code or select from the list (NAV flights only)

Step 3 — Enter flight details

Fill in the flight information:

Field Description
Departure time The planned or actual departure time.
Persons on Board (POB) The total number of persons on the aircraft.
Pilot in Command (PIC) Select yourself or another pilot.
Instructor Select a flight instructor if this is a training flight.
Flight type Select the appropriate flight type classification.
Remarks Any notes relevant to this flight.

Step 4 — Select the aircraft

  • Choose the aircraft from the list of available aircraft
  • If the aircraft is a rental aircraft, additional fields may appear for Hobbs entry
  • Hobbs at departure — enter the current Hobbs meter reading before start-up (format depends on aircraft configuration: decimal or hours:minutes)

Step 5 — Review the overview

The overview screen shows a summary of all entered information:

  • Route and aerodromes
  • Flight details (time, POB, PIC, flight instructor, flight type)
  • Aircraft and Hobbs information
  • Remarks

Review everything carefully before proceeding.

Step 6 — Register the departure

Tap Register departure to confirm. The flight is now active and visible in:


Arrival flow

The arrival flow closes an active flight. It is similar to the departure flow but focuses on completing the record.

Step 1 — Review route and flight details

The app shows the departure information that was already logged. Confirm or adjust:

  • Route and aerodrome information
  • Arrival time
  • Flight details

Step 2 — Confirm aircraft and Hobbs information

For rental aircraft, enter the Hobbs readings:

  • Hobbs start — the Hobbs meter reading at engine start (may be pre-filled from departure)
  • Hobbs end — the Hobbs meter reading at engine shutdown

The Hobbs format (decimal or hours:minutes) depends on the aircraft's configuration in Fleet configuration.

Step 3 — Add remarks

Add any additional remarks about the flight if needed. Keep remarks short and factual.

Step 4 — Report a defect (optional)

On the arrival screen, a defect reporting card may appear. If you need to report an aircraft issue:

  1. Switch defect reporting on
  2. Enter a clear, short defect title (for example: "Left brake weak on landing")
  3. Add a description with more detail about the issue
  4. Attach photos from your device's gallery or camera to document the defect visually

The defect report will appear in the aircraft's Defects tab on the platform for maintenance follow-up.

Step 5 — Review the overview

Check all arrival details, Hobbs readings, and any defect information.

Step 6 — Register the arrival

Tap Register arrival to confirm. The flight is now closed, and:

  • The flight status updates to closed in Flights
  • The arrival movement is added to the Flight Register
  • Hobbs meters update in Fleet
  • If billing applies, a transaction is created in Finance
  • If a defect was reported, it appears in the aircraft's defect list

Aircraft and Hobbs entry

Hobbs format

The Hobbs entry format depends on how the aircraft is configured:

  • Decimal format — enter hours as a decimal number (for example: 1234.5)
  • Hours:Minutes format — enter hours and minutes separately (for example: 1234:30)

The correct format is determined by the aircraft's Hobbs type setting in Fleet configuration. The app automatically shows the correct input format.

Billing calculation

When the flight is linked to a rental aircraft, the system calculates billing based on:

  • The billing basis configured for the aircraft (engine time or flight time)
  • The rental price per minute and any startup fee
  • Custom pricing rules that may apply based on your subscription or label

Operational checks

The Flight Logger may enforce several operational checks:

Check Behaviour
Open defects warning The app may show open defects on the selected aircraft before departure. Review them before deciding to fly.
Aircraft unavailability If the aircraft is blocked (grounded defect, maintenance, schedule block), departure registration is prevented.
Subscription requirement If your organisation requires a valid subscription for rental aircraft use, the app checks this first.
Minimum balance The organisation may require a minimum account balance before you can fly rental aircraft.
Required fields Some buttons remain disabled until all required information is entered.

Warning

Always review open defects before departure, even if the app allows you to continue. Safety is your responsibility as pilot in command.


Common tasks

Log a local training flight

  1. Start from the Home screen and tap Start flight
  2. Select LOCAL as the route type
  3. Enter POB, select yourself as PIC, and select your flight instructor
  4. Choose Training as the flight type
  5. Select the aircraft and enter the departure Hobbs reading
  6. Review and register the departure
  7. After landing, tap Close flight from the Home screen
  8. Enter the arrival Hobbs reading
  9. Add remarks if needed
  10. Review and register the arrival

Log a navigation flight

  1. Start from the Home screen and tap Start flight
  2. Select NAV as the route type
  3. Enter the destination aerodrome
  4. Fill in flight details and select the aircraft
  5. Review and register the departure
  6. After landing at the destination, open the app and close the flight
  7. Complete the arrival flow

Report a defect during arrival

  1. During the arrival flow, switch defect reporting on
  2. Enter a descriptive title that identifies the issue
  3. Add details in the description field
  4. Take or select photos showing the defect
  5. Complete the arrival registration

Good practice

  • Register departure as close as possible to the actual departure time
  • Register arrival immediately after landing — do not wait until you are back at the clubhouse
